Privacy Policy of the E-admission system

BME E-admission system is created for the management of admission applications and admission tests, maintained by the Directorate of International Education and the E-admission Management Group of the Budapest University of Technology and Economics (BME). This privacy policy will explain how our organization uses the personal data we collect from you when you use our website.

What data do we collect?

BME E-admission system collects the following data:

  • Personal registration and identification information for the use of the site:
    • obligatory data collected: username, email address, password
    • optional data: all other profile fields; for the full list of fields refer to your profile
    • logs on activities on the site (access time, site parts accessed, IP address, activity start/end, submission start/end, etc.)
  • Personal identification and academic information for the application to BME:
    • Personal identification data: name, birth name, date of birth, place of birth, mother's maiden name, gender, citizenship, passport/ID number and copy,  home permanent address, email address, name and email of agent, CV
    • academic data: previous academic studies/achievements (name and country of the previous and current high school/university, obtained degrees, date of degree, current academic program, copy of the certificate documents), document of English language proficiency, preferences for application (selected study programme, previous studies at BME, Neptun code, Stipendium Hungaricum relations, preferences for preparatory courses), recommendation letters, warrant of application fee, research plan, support letter, portfolio, obtained credits and subject data for credit recognition
  • Information on admission tests: achievements, access time, site parts accessed, IP address, activity start/end, submission start/end, etc.
  • data collected by cookies: in accordance with Moodle Cookie Policy

 

How do we collect your data?

You directly provide our institute with most of the data we collect. We collect data and process data when you:

  • Register online or use our services.
  • Voluntarily complete a form for application to our academic programme. 
  • Voluntarily complete a survey or provide feedback on any of our message boards or via email.
  • Voluntarily complete a practice/sample test or admission test. 
  • Use or view our website via your browser’s cookies.

Our institute may also receive your data indirectly from the following sources:

  • Tempus Foundation, authorities (personal and academic information, especially, but not exclusively data with respect to scholarship applications),
  • BME faculties and other departments (primarily data related to admission test assessments, admission decisions)
  • your previous or current study institutes
  • authorities, consulates
  • agents, agencies you requested to complete procedures on your behalf

How will we use your data?

BME E-admission collects your data so that we can:

  • Process the services and manage your account.
  • Process your admission procedure.
  • Provide data to the Study Administration System of BME and to the relevant faculties and departments in relation to your studies and academic activities.
  • Provide data to departments of further university services, such as Student Service Directorate, Mentor Network, etc.
  • Provide data to authorities on demand.
  • Email you or messaging via the system providing information, guidances, etc. related to the admission procedure. 
  • Email you with special offers on other programmes and services we think you might like.
  • We may complete anonymous statistical analysis for the evaluation of the admission procedure, admission tests, input competencies of applicants in general, for the purpose of improving our services and education system.

If you agree, BME will share your data with our partner companies so that they may offer you their products and services.

When BME processes your order, it may send your data to, and also use the resulting information from, credit reference agencies to prevent fraudulent purchases.

How do we store your data?

BME securely stores and archives your data at BME (backup) storages, especially, but not exclusively at the E-admission database, Neptun database, faculty backup and archive services.

BME will keep your admission related and academic activity related data for the period required by Hungarian laws. Once this time period has expired, we will delete your data.

Marketing

As default, BME E-admission does not use your data for marketing purposes. However, we would like to send you information about programmes and services of ours that we think you might like.

If you have agreed to receive marketing, you may always opt-out at a later date.

You have the right at any time to stop us from contacting you for marketing purposes.

If you no longer wish to be contacted for marketing purposes, please let us know via the messaging service of the system, or by sending email.

What are your data protection rights?

BME would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access – You have the right to request BME E-admission for copies of your personal data. We may charge you a small fee for this service.

The right to rectification – You have the right to request that BME E-admission correct any information you believe is inaccurate. You also have the right to request us to complete the information you believe is incomplete.

The right to erasure – You have the right to request that BME E-admission erase your personal data, under certain conditions.

The right to restrict processing – You have the right to request that BME E-admission restrict the processing of your personal data, under certain conditions.

The right to object to processing – You have the right to object to BME E-admission's processing of your personal data, under certain conditions.

The right to data portability – You have the right to request that BME E-admission transfer the data that we have collected to another organization, or directly to you, under certain conditions.
